Attire

What should I wear? What should I wear?
The 2024 V Summit begins the evening of May 15th with an optional, informal welcome event. Short-sleeve t-shirts for attendees will be provided at the hotel during check-in. If you are not staying at the hotel, please let us know. We ask that you wear your t-shirt to the Thursday night social event so other guests can easily identify you as a V grantee!

Attire for the V Summit meetings is business casual. We recommend comfortable shoes for the Flash Talk sessions as grantees will be walking and standing while presenting their Flash Talks.

The Grants team has a limited number of extra shirts available. Please let a team member know if you need a different size.

Travel and Transportation

How do I make hotel accommodations? How do I make hotel accommodations?
The V Foundation’s V Summit room block is available for the nights of Wednesday, May 15th and Thursday, May 16th at the rate of $209 per night. If you choose to extend your stay beyond these dates, please contact the hotel directly for more information. Please be sure to check out the “Hotel & Travel Information” tab where you can find important details on transportation, and other hotel information. All grantees requiring accommodations are responsible for reserving their own room in the room block. Please note the reservation deadline of April 23rd, 2024.
Am I required to reserve a room at the StateView Hotel? Am I required to reserve a room at the StateView Hotel?
Booking a room in our block is not required. If you choose to make other arrangements, please let us know for planning purposes and be aware that it will be your responsibility to arrive at the meeting locations on time.
Will transportation be provided from the StateView Hotel to SAS Institute? Will transportation be provided from the StateView Hotel to SAS Institute?
Yes, we will be offering a shuttle to provide transportation between the StateView hotel and SAS Institute during the conference.

Yes, we will be providing a single shuttle run from SAS Institute to RDU Airport after the conference concludes around 4:00pm ET on Friday, May 17th. The arrival time at the airport cannot be guaranteed. If this does not align with your schedule, we recommend making your own arrangements.

At this time, we are not aware of any events that may delay your travel. However, please plan accordingly to ensure enough time is allocated to make your returning flights or other plans!

Flash Talks

Can you tell me more about the flash talk sessions on May 16th? Can you tell me more about the flash talk sessions on May 16th?
On April 3rd, you should have received an email from grants@v.org with more information about this year’s Science Communication Training and flash talk sessions so that you can start preparing your single, flash talk PowerPoint slide for the conference.

Flash Talks are an integral part of our meeting and are required for all participants!

Please submit a single PowerPoint slide by May 1st. An example of appropriate and not appropriate slides was provided in the instructions email sent on April 3rd. You will need to submit your slide by uploading it via this form.

The May 16th Science Communication Workshop, “Communicating Complex Science: Practical Techniques for Clarity and Impact”, will help you further prepare for this presentation.

Your presentation should not exceed a duration of 2.5 minutes. Adhering to the provided time constraints is essential to maintaining the schedule for the remainder of the program.

Meals and Dining

What if I have dietary restrictions? What if I have dietary restrictions?
If you did not answer this question on your registration or if you have anything to add, we ask that you let us know of any dietary restrictions (including medical conditions, allergies, intolerances, sensitivities) by emailing us at grants@v.org. Please let us know as soon as possible to ensure accommodations can be made.

Yes, a light meal (passed hors d’oeuvres) will be provided at the welcome event on May 15th and all meals (breakfast, lunch, and dinner) will be provided May 16th. Breakfast and lunch will be provided on May 17th.

If you start to feel sick and/or experience any symptoms of COVID-19, we ask that you let a staff member know immediately. We will provide instructions on next steps.

The entire conference is in-person, and streaming or hybrid attendance options will not be available.

During the V Summit, we plan to have an external text messaging app to connect attendees with staff members. Instructions on how to join will be provided.
